Terms of Service

1. Acceptance of Terms

By accessing our website (the “Site”) at https://natsuproject.org or by enrolling in Natsu Camp 2025 (the “Program”), you indicate that you have read, understood, and agree to be bound by these Terms of Service (“TOS”). If you do not agree, you must not use the Site or participate in the Program.

2. Program Overview

  • Name: Natsu Camp 2025 (“the Program”)

  • Location: Hokkaido, Japan

  • Dates: July 28, 2025 – August 1, 2025

The Program is an educational and experiential summer camp that includes communal living experiences, group meals, and mentor-led workshops. Participants are responsible for their own travel arrangements to and from Hokkaido.

3. Tuition & Fees

  1. 2025 Tuition: JPY 298,112

    • Covers program participation (including all on-site activities organized by Natsu Camp), educational materials, group meals, and communal living experiences.

    • Does not include airfare, visa fees, personal expenses, or any cost not explicitly stated.

  2. Early Admission (EA) Tuition: JPY 248,112

    • Applicable to participants accepted under the Early Application period.

  3. Transportation:
    Participants must arrange and pay for their own transportation to and from the program location in Hokkaido.

  4. Payment Deadlines & Deposit:

    • Non-Refundable Deposit: JPY 74,903, due within 14 calendar days of acceptance.

    • Remaining Balance: Must be paid by June 30, 2025 (or as otherwise communicated). We will send a follow-up email with instructions for final payment and additional forms (such as parental consent, if applicable) in late May. Failure to pay by this deadline may result in loss of the reserved spot.

4. Refund Policy

  1. Non-Refundable Deposit

    • The deposit (JPY 74,903) is non-refundable under all circumstances, including participant cancellation, except if Natsu Camp itself cancels the entire Program.

  2. Total Program Fee

    • The remainder of the total program fee is generally non-refundable. However, partial refunds may be considered in specific, documented situations, such as serious illness, family emergencies, or other uncontrollable events that prevent participation.

    • All refund requests must be submitted in writing via email to info@natsuproject.org. Approval is at the sole discretion of Natsu Project management and will be made in good faith.

  3. Early Admission Discount

    • Students accepted through Early Admission receive a tuition discount of JPY 50,000, applied to the final balance due. The discount does not reduce the amount of the non-refundable deposit.

5. Force Majeure (Events Beyond Control)

Natsu Camp shall not be held liable for any failure or delay in performing obligations under these TOS if such failure or delay results from events beyond our reasonable control, including but not limited to natural disasters, pandemics, war, civil unrest, strikes, government actions, or other unforeseen circumstances (“Force Majeure Events”). In the event that Natsu Camp must alter, postpone, or cancel part or all of the Program due to a Force Majeure Event, any potential refunds will be evaluated in good faith on a case-by-case basis.

6. Website Use & Intellectual Property

  1. Intellectual Property Ownership
    All content on the Site—such as text, graphics, logos, images, and program materials—belongs to Natsu Project or its licensors. Unauthorized reproduction or distribution of this content is prohibited.

  2. Personal & Non-Commercial Use
    You may access and use the Site solely for personal, non-commercial purposes.

  3. Website Reliability
    We endeavor to maintain accurate and up-to-date information on the Site but do not guarantee uninterrupted operation or error-free content. We reserve the right to modify or discontinue any portion of the Site without notice.

7. Student Conduct

  • Participants agree to follow all camp rules and guidelines.

  • Participants must respect fellow attendees, staff, and the local community.

  • All participants must abide by Japanese laws and regulations during the Program.

Failure to comply may result in dismissal from the Program without refund.

8. Liability & Disclaimer

  1. Limit of Liability
    By enrolling in the Program, participants, or their parent/legal guardian in the case of minors, acknowledge and accept the general risks associated with travel, group activities, and participation in educational or outdoor programming. Natsu Project is committed to maintaining a safe and supportive environment. However, by participating in the Program, participants (or their parent/legal guardian) agree that Natsu Project, its staff, affiliates, and representatives shall not be held liable for any personal injury, illness, or loss or damage to personal property that may occur during the Program, except in cases of gross negligence or willful misconduct.

  2. No Guarantees
    Natsu Project does not guarantee specific academic or personal outcomes from participating in Natsu Camp 2025.

9. Parent/Guardian Consent (Minors)

  • Participants under the age of 18 must have permission from a parent or legal guardian to participate in the Program.

  • A parental consent form (or comparable documentation) may be required upon final payment or as otherwise communicated.

10. Future Comprehensive Agreement

These Terms of Service outline key conditions regarding deposit payment, refund policy, and core camp guidelines. A more detailed participation agreement—including information on liability waivers, code of conduct, medical disclosures, and other program policies—will be shared before or at the time of final payment. By submitting your non-refundable deposit, you acknowledge your understanding that additional terms will follow, and that continued enrollment will be subject to reviewing and agreeing to those terms. We are committed to providing full transparency and ensuring you have the opportunity to ask questions before final confirmation.

11. Modifications to These Terms

Natsu Project reserves the right to update or modify these TOS at any time for reasons such as compliance with new regulations, clarifications, or operational adjustments. We will notify participants of any material changes that substantially affect your rights or obligations, either via email or by posting a prominent notice on our website.

  • If you have already paid a deposit and believe these changes significantly alter your position or increase your obligations, you may contact us within 7 days of receiving notice to discuss a resolution under the previous terms or an acceptable remedy.

  • By continuing to use the Site or participating in the Program after changes become effective, you accept the updated TOS.

12. Governing Law & Dispute Resolution

These TOS are governed by and interpreted in accordance with the laws of Japan. Any disputes arising out of or related to these TOS shall be subject to the exclusive jurisdiction of Japanese courts.

13. Non-Travel Agency Disclaimer

  1. The Program is an educational and experiential summer camp designed for communal living, workshops, and cultural exchange. Natsu Project does not act as a travel agent or tour operator under Japanese law or otherwise, nor does it sell or offer “package tours.”

  2. Participants are fully responsible for arranging their own transportation (e.g., flights, trains, buses) to and from Hokkaido. Any assistance or guidance provided by Natsu Project regarding transport or lodging options is strictly advisory and does not constitute a travel arrangement service.

  3. Where Natsu Project coordinates group lodging (e.g., rentals, hostels, hotels, Airbnb) as part of the communal living experience, all related costs are incidental to the educational nature of the Program. Participants acknowledge and agree that no separate “travel fee” or markup is charged for lodging, and that Natsu Project is not providing accommodation services as a commercial hospitality operator.

  4. By enrolling in Natsu Camp 2025, participants (and their guardians, if applicable) confirm they understand the Program’s primary purpose is educational/experiential and not a commercial tour or travel package. Any interpretation suggesting otherwise is expressly disclaimed.
